National Coordination Services Print E-mail
The National Coordination Services are responsible for the management and facilitation of tasks that are common to all the State Archives in Belgium, situated in Brussels, Flanders, Wallonia and the German-speaking community.
  • Section 1 – Archive supervision, reporting and co-ordination of archive collection and selection
  • Section 2 – Digital storage, digitisation, digital reading room
  • Section 3 – External relations and co-ordination of communication and service to the public


Section 1: Archive supervision, reporting and co-ordination of collection and selection

What does our work involve?

The Archives Law of 24 June 1955 (articles 5 and 6) and the royal decree of 12 December 1957 granted to the National Archivist and his delegates a power of supervision for the conservation of archives from all Belgian courts, tribunals, authorities and public institutions. In addition, no archive document produced or received by the public authorities may be destroyed without the express prior authorisation of the National Archivist.
In close cooperation with the National Archivist, the various departments of the State Archives and the ICT section, the department for the “Supervision, Reporting and Coordination of Archive Collection and Selection” plans and coordinates the monitoring initiatives led by the responsible archivists of the State Archives at national level. It also determines the supervision and selection policy for public archives in order to ensure the permanent preservation of documents of historical interest or legal value. As a result, it is forbidden to destroy any archives of this nature. For this purpose, it prepares records schedules that are approved by the National Archivist, published on the Internet and regularly updated.
In addition to monitoring the content of the Belgian public archives, the section provides support and encouragement for any authorities that wish to improve their document management systems, particularly by providing guidance, work tools and specific training, specifically aimed at developing pragmatic solutions. Section 2: Digital archive, digitisation, digital reading room

What are our tasks?

In a world where ‘digitisation’ is becoming increasingly important, the State Archives themselves plan to adapt their working approach to the new technologies. The State Archives are currently developing a digital reading room where the different target groups will be able to conduct their archive research. The priority has been to provide improved access to the stored archives, which will be faster and more efficient. At the same time, the State Archives are also responsible for the correct, methodical and accessible preservation of digital archives. We have been especially eager to develop an efficient backoffice in order to file and reuse the available information in a structured manner within the framework of the different initiatives of the State Archives.

Section 3: External relations and coordination of communication and public services

What are our tasks?

The department of ‘External Links and Coordination of Communication, Development and Public Services’ has the key task of promoting and facilitating links between the State Archives and its wide range of target groups and privileged partners. It is also responsible for updating the website and the regular publication of a digital information bulletin, providing support with the organisation/publicising of events and the establishment of a management group focusing on the needs of different State Archives target groups.
